Approvals, Budgets and Multi-Location Accounts for Electrical Distributors

Part 8 of 12 · October 18, 2026

Some of your best electrical accounts are also the hardest to manage. A contractor with eight foremen all charging to one account. A school district with twenty buildings, each with its own maintenance staff. A manufacturing company with three plants that want the same pricing but separate billing. Each has the same worry: who is ordering what, and is it under control?

If you can answer that worry for them, you get more of their buying. The app gives you the tools to do it.

Managers approve, buyers order

Each person who orders can be set up with their own login. The account can choose whether a buyer can place orders, request quotes only, or both. That alone solves a common problem: an apprentice who should be able to ask for a price on a fixture but shouldn't be buying a panel on the company's account.

For orders that need a second look, approvals route them to the person who manages the account. The manager gets the order by email and text with an approve or decline button. They can approve from a job site or a meeting without logging into anything.

Monthly budgets

Each buyer can have a monthly budget. You can set it up two ways:

  • Approve every order: every order from that buyer goes to the manager first.
  • Approve over budget only: orders flow through normally, and only an order that pushes the month past the budget is held for the manager.
  • No limit: leave the budget blank for buyers who should order freely.

For a contractor, that might mean each foreman has a budget for consumables, and anything over it waits for the owner. For a facility, it might mean each building's maintenance tech has a monthly amount and the facilities director approves the rest. Either way, the customer gets control, and you keep getting the order instead of losing it to a purchasing freeze.

Master accounts for multi-location customers

A master account holds the price file, the customer's part numbers and the terms for all its locations. No orders are placed on the master itself. Each location points to it and inherits the pricing, discount and part-number cross-references. Anything you set on a location overrides the master, so one plant can have its own ship-to or its own exception.

You can also block an item on a master account and name what they should order instead. If a hospital system has standardized on one brand of LED troffer, you can block the others and point buyers to the approved one. The buyer is told at checkout. Set it on the master and it covers every location.

For on-site programs, you can load every bin on the master and assign it to each location, so each building or plant sees only its own bins.

Why this wins business

Large electrical buyers often consolidate suppliers when they can't get control of spend. The distributor who gives them the control is the one who stays. Budgets, approvals and master accounts let a big account say yes to more of their people ordering from you, because they can see and limit it.

It also makes your rep's job easier. Instead of being caught between a foreman who wants the material today and an owner who wants to approve everything, the rules are in the app and everybody can see them.
