Credit Applications, Tax Exemptions and Better Terms for Fastener Accounts

Part 5 of 12 · October 18, 2026

A fastener distributor's customer list is a mix: OEMs with formal purchasing departments, contract manufacturers that are growing fast, construction contractors who buy anchors and threaded rod by the job, maintenance shops, and smaller distributors who resell what you stock. Each wants terms. Each carries a different risk, and many are tax-exempt in ways that need paperwork.

When opening an account means mailing a form, chasing references and waiting a week, the new customer buys on a card for a while, and sometimes they never come back.

Credit applications without the paper chase

The Fastener App has an online credit application with a signature. The customer fills it in from a phone or computer and signs it. It arrives in your office, where you can review it and approve terms with one tap.

A rep who meets a new contractor on a job site, or a buyer at a new machine shop, can send the application on the spot. No paper form lost on the passenger seat.

Tax exemption certificates that stay current

Fasteners are often bought for resale or for incorporation into a manufactured product, which in many states makes the purchase exempt. Distributors who resell to other distributors, and manufacturers buying fasteners that end up in their product, can all need certificates on file. The weak spot is always the certificate: never collected, expired, or in a drawer.

The tax exemption certificates tool shows every exempt account and whose certificate is missing or expired. That gives your office a short monthly list to work, not a scramble during an audit.

Offering better terms, safely

Better terms can win a contract manufacturer that a large national house holds to strict limits. But you want to stretch terms only where you can see what is happening. The Fastener App gives you the controls:

  • Monthly budgets on an account, so orders past the budget are held for approval.
  • Approval required on accounts where every order goes to a manager first.
  • Quotes-only mode for accounts that should request prices but not order directly.
  • Invoices and pay links, so customers see what is open and pay it.
  • Collections reminders that run from friendly to firm on a schedule.

With those in place, you can open a growing contract manufacturer with a sensible limit, watch how they pay, and give them more room as they grow. For a young company, getting real terms from a supplier is a reason to stay loyal.

For larger customers, a master account holds the terms for every location, so each plant runs on the same terms without separate applications.

Contractors deserve a note. A construction customer buying anchors, rod and structural bolts for one big job can run up a large balance quickly. A job-specific budget with approvals keeps that balance visible while the job runs, and pay links make it easy to settle when the job pays out.

Resellers are worth a mention. Smaller distributors and hardware stores that buy from you to fill gaps in their own stock are usually exempt, often pay on terms, and order in irregular bursts. Getting their certificate on file at the start, and giving them a clear view of their invoices, keeps that wholesale business simple to run.

The goal is simple: open good accounts quickly, keep certificates current, and give terms to the customers who earn them. When credit is easy to get and easy to manage, it stops slowing sales down.
