Reports and Account Reviews for Fastener Distributors

Part 12 of 12 · October 18, 2026

The fastener programs that last for years are the ones somebody reviews. A rep or a manager sits down with the purchasing manager every quarter, walks through what the plant bought, what the bins did and what could improve. The trouble is that building those reviews by hand takes hours, so they happen only when an account is already wobbling or a contract is up for renewal.

The Fastener App puts the numbers in front of you without a spreadsheet.

For the owner: the business on one screen

The exec dashboard shows sales, margin, cash, receivables and pace on one screen. Company goal shows the month, year to date and the year at this pace. Rep pace to goal shows each rep's month against goal. Mission control shows a live map of who is in the store right now. It is the view you want on your phone before the Monday meeting.

What to bring to an account review

A good review with a fastener customer uses a few simple views:

  • Top accounts up and down: the ten accounts buying more than last year and the ten buying less.
  • Category gaps: what the customer buys from you and what they buy elsewhere. A plant that buys your hex caps but not your anchors, rivets or retaining rings is an opening.
  • Customers slipping: regular items that have stopped coming.
  • Customer health: which customers are slipping, at risk or lost.
  • Pull up a customer: everything about one account on one screen.

Bring those to a review and the conversation gets specific. "You bought stainless socket heads from us every month until June. What happened?" leads to a real answer. "Anything else we can help with?" rarely does.

Reports customers see themselves

Customers can see their own spend, usage and category reports in The Fastener App. Purchasing managers use these more than you might think. When the plant manager asks why C-part spending rose, the buyer can show which categories and which lines drove it. When the budget is set, he has a year of real usage to plan from.

That keeps you in the room. A purchasing manager who runs his fastener program from your reports brings your name into budget meetings. If the plant also uses approvals and budgets in the app, the reports line up with how it already controls spending, plant by plant under a master account.

Open corrective action reports also sit on the account, so a review can cover any quality issue, a bad lot or a mislabelled bin, alongside the numbers. Showing the fix and the customer's signature on it is a strong way to close a review.

Make reviews a habit

The weekly rep review email goes to every rep each Monday with their own accounts, and the GM desk gets everyone, so the numbers stay in front of the team.

Keep each review short: fifteen minutes and two or three useful numbers. Ask what is coming, such as new products, a line move or a new plant. Fastener demand follows those changes, and the distributor who hears first usually gets the business.

Pick your top ten fastener accounts and book a short review with each this quarter. Bring the category gaps and the slipping items. You will rarely leave empty-handed.
