Getting Paid Faster on Fleet and Shop Parts Accounts

Part 6 of 12 · October 18, 2026

Parts distributors live on volume, and volume means a lot of invoices. A fleet shop might get deliveries twice a day. A repair shop places a dozen small orders a week. A municipal fleet pays on its own schedule, with its own paperwork. Each invoice that goes unpaid a few extra days adds up, and your office spends hours answering "can you send me a copy" and "did we pay that?"

Let customers see and pay invoices themselves

In the app, customers see their invoices, both what is billed and what is open. The shop owner who wants to clear his account on Friday afternoon can see the balance without calling. Every invoice can carry a Pay now button through pay links, so a customer who is ready to pay can do it on the spot.

That matters most for small shops, which often pay promptly when it is easy and slowly when it is not. It also helps a fleet's accounts payable team, who want a clean copy to match against a PO.

Collections without the awkward calls

Collections and pay links send past-due reminders with a Pay now button on every invoice. The tone moves from friendly to firm as the invoice ages, and you can let reminders go out automatically. Your office no longer writes the same reminder email over and over.

The collections helper gives reps a view of who owes money and how late, a stop-by nudge when they are near an account with a past-due balance, and the reminder schedule. A rep dropping in on a repair shop can mention the open balance in person, which is often more effective than another email.

A few habits that help fleet and auto distributors:

  • Turn on pay links for every account, especially small shops.
  • Start reminders friendly and let them get firmer as invoices age.
  • Let reps see past-due balances before they visit.
  • Use Look up an invoice when a customer calls, so the answer takes seconds.
  • Watch accounts with many small invoices, where small delays add up.

Find any invoice quickly

Look up an invoice lets reps and the owner find any invoice and see what is still open. When a fleet's accounts payable clerk calls about an invoice from last quarter, the answer is on the rep's phone in seconds, not in a back-office file.

Texts to customers help too. A rep can text a shop owner a reminder from the app, and the text is saved to the account so everyone knows what was said.

For the owner, the exec dashboard shows sales, margin, cash, receivables and pace on one screen. You see receivables creeping up before they become a cash problem.

Fleets with many terminals often pay from one central office. When every terminal's invoices sit under one master account, that office can see everything open in one place and pay it in one go, rather than chasing paperwork from each location.

None of this changes how you bill; it works with your existing ERP. What it changes is how easy it is for customers to pay you and how little time your office spends chasing money. In a business that has to keep the warehouse stocked with batteries, brakes and filters, cash coming in sooner matters.
