Quotes and Hard-to-Find HVAC/R Parts: AI Quick Quote, Get This for Me and the Email Quote Desk

Part 9 of 12 · October 18, 2026

HVAC/R quoting comes in every shape. A contractor needs pricing on a changeout for a homeowner sitting at the kitchen table. A refrigeration tech sends a photo of a faded nameplate on a walk-in evaporator. A facility emails a list of rooftop unit parts for a spring maintenance project. A tech needs a control board for a furnace that went out of production years ago. The supply house that answers first, and gets it right, usually gets the order.

In peak season, the quotes pile up, and the hard ones sink to the bottom.

AI Quick Quote: plain words in, priced quote out

With AI Quick Quote, a customer says or types what they need in plain words and gets a priced quote back. "Two 45/5 dual run caps, a 1/4 horsepower 1075 RPM condenser fan motor and a 40 amp two-pole contactor" turns into a quote with your items and your prices, while the tech is still standing at the unit.

Customers can also start from a photo or a competitor's description. When lines are crossed from another supplier's description, each of those lines is checked again right after the quote shows, against the competitor's full description, and updates on screen. Every crossed line shows the competitor's text so the customer can see exactly what was matched.

Get this for me: the long tail of HVAC/R

HVAC/R has a huge long tail. OEM control boards, inducer motors, specific gas valves, refrigeration controls for one brand of case, compressor parts for older equipment. Plenty of it isn't in anyone's catalog.

Get this for me lets a customer ask for anything they don't see. The request goes straight to your purchasing team and comes back as a quote, with no lost texts or sticky notes. Reps can do the same from the field: buy what a customer asks for, or send it to purchasing.

These requests are often where the margin is. A tech with a customer's furnace down in January who needs one specific board isn't shopping price. They're shopping whoever can find it.

The email quote desk

Many requests will always come by email: a parts list for a maintenance contract, an equipment schedule from an engineer, a refrigeration parts list from a grocery chain. The email quote desk prices those requests and answers them, and your team can review every decision the AI made. When the PO follows, the PO inbox reads it, and a person approves each order.

  • Common repair parts: techs use AI Quick Quote from the job and accept the price when ready.
  • Hard-to-find and OEM parts: Get this for me routes them to purchasing and back as a quote.
  • Emailed lists: the email quote desk prices them so your team reviews instead of retyping.
  • Equipment and commercial packages: get your experienced people's full attention.

Faster quotes, more wins

In HVAC, the quote often has to come back while the homeowner or the facility manager is still waiting for an answer. When routine parts quotes take care of themselves, your best inside salespeople can spend their time on equipment changeouts and commercial jobs where their knowledge earns real margin. Customers see every quote in one place and can accept one when they're ready, which turns more quotes into orders and fewer into lost sales.
