Getting Paid Faster by Industrial Customers

Part 6 of 12 · October 18, 2026

Industrial customers pay, eventually. The problem is "eventually." Invoices get stuck waiting for a three-way match with a receiving document nobody signed. An AP clerk at a plant asks for a copy of an invoice you sent last month. A maintenance manager approved a purchase but never told accounting. Meanwhile your cash is tied up in receivables while you're paying your own vendors on time.

Getting paid faster usually isn't about pressure. It's about removing the reasons not to pay.

Let customers find their own invoices

A surprising amount of collections work is just sending copies. In MRO it's worse than most trades, because a single plant might get dozens of small invoices a month from you: a case of gloves here, a few fittings there, a rush order of drill bits on a Thursday. Each one can get stuck for its own reason. The app lets customers see what's billed and what's open, and look up any invoice themselves. When the plant's AP clerk needs a copy to match a PO, she gets it without calling your office.

The same goes for your team. Look up an invoice finds any invoice and what's still open, so your inside rep can answer "did we pay that?" while the customer is still on the line.

Reminders with a Pay now button

Collections and pay links send past-due reminders with a Pay now button on every invoice. The tone runs from friendly to firm, and you can make it automatic. A friendly reminder a few days after the due date catches the invoices that simply got buried. A firmer one later catches the ones that need attention.

Because the reminder carries a payment link, the person who reads it can often just pay. No hunting for remittance details, no waiting for a check run.

Give reps a reason to ask

Reps hate collections, but they're often the best people to fix a stuck invoice. They know the maintenance manager who signed for the delivery. They know the receiving clerk who forgot to log it.

The collections helper shows each rep who owes money and how late, gives them a stop-by nudge for accounts on their route, and shows the reminder schedule so they know what the customer has already heard. A rep stopping at a plant for a storeroom count can spend two minutes in the front office sorting out an old invoice.

A simple routine works for most MRO distributors:

  • Turn on automatic friendly reminders for every account.
  • Let firm reminders go to accounts past a threshold you choose.
  • Have reps check the collections helper before each day's route.
  • Use team notes on the invoice so the office and the rep see the same history.

Order tracking helps too. When a plant can see where each order is and confirm it was delivered, there's one less reason for AP to hold an invoice while someone checks with receiving.

Why it matters in MRO

MRO margins depend on volume and turns. Cash stuck in receivables is cash you can't put into inventory for the next storeroom program or the next plant you want to win. When invoices are easy to find and easy to pay, customers pay sooner, your office spends less time on copies and calls, and your reps help without turning into bill collectors.

It also protects relationships. A polite, automatic reminder with a link to pay is far easier on everyone than an awkward phone call from the owner about an invoice that was simply lost in an inbox.
