Quotes and Hard-to-Find Safety Items: Sensors, Lenses and Harness Parts

Part 9 of 12 · October 18, 2026

The routine PPE order is easy. The hard part of a safety distributor's day is everything else. A customer sends a blurry photo of a gas detector and asks for the sensor. Someone needs replacement lenses for a welding helmet with no model number visible. A fall protection crew needs a specific lanyard connector. A buyer emails a list of 40 items from a competitor's quote and asks you to beat it.

Each of these takes skilled time to research and price, and if the answer is slow, the customer buys elsewhere. The app gives you three ways to handle them faster.

AI Quick Quote

AI Quick Quote lets a customer say or type what they need in plain words and get a priced quote back. They can voice it, type it or paste it, or upload or snap a picture of an invoice, packing slip or spreadsheet. It handles your part numbers, a competitor's part numbers, sizes, brands and quantities, finds the items, prices them and puts them straight into the cart.

For safety buyers, that covers a lot of real situations:

  • A safety coordinator types "two cases of the orange foam earplugs, 10 boxes of large cut gloves, 5 cases of clear anti-fog glasses."
  • A purchasing clerk snaps a photo of last month's invoice from another distributor and asks for the same items from you.
  • A foreman talks into the phone on the way to a job: "I need four harnesses, four shock-absorbing lanyards, and a case of hi-vis vests, class 2, extra large."

Quick Quote re-check then re-checks any line still being matched against the competitor's full description and updates on screen, and every crossed line shows their invoice text and full description beside your item. The buyer can see why each match was made, which matters when you're replacing PPE that a safety manager approved.

Get this for me

Some items just aren't in your catalog. A specific SCBA part, an obsolete respirator cartridge, a hard hat accessory from a brand you don't stock. Get this for me lets a customer ask for anything they don't see. They can take a photo of it, including the manufacturer's box and part number, and the request goes to your purchasing team and comes back as a quote. The customer, their rep and your team all get a copy.

Reps can also order special items themselves. When a customer asks for something unusual at a visit, the rep can buy it directly or send it to purchasing, without calling the office.

The email quote desk

Many safety RFQs still arrive by email: a utility buyer sending a spreadsheet of annual PPE needs, or a contractor forwarding a bid list. The email quote desk prices quotes requested by email and answers them. Your team reviews the work rather than keying it in from scratch.

Why quotes matter to profit

Quotes for odd items are where safety distributors earn trust. A customer who finds that you can get the sensor or the lens or the obscure harness part keeps sending you everything else. And because quoting is faster, your counter can handle more requests without hiring. The routine items flow through, and your skilled people spend their time on the problems that actually need them, like matching a respirator to an exposure or figuring out a fall arrest setup.
