Fluid Spec Worksheet by Unit
A blank worksheet for recording each fleet unit's fluid specifications, capacities and service intervals from the OEM manual, so the right product goes in every time.
Draft, open for review. Check every value against the governing standard and the manufacturer’s data before use.
What it is
A one-page record of every fluid a unit uses: the specification it must meet, the viscosity grade, the fill capacity and the change interval. Keeping it with the unit file or posted in the shop prevents mixed coolants, wrong oils and overfills. Fill it in from the OEM operator's or service manual, not from memory or a parts counter lookup.
How to use it
Make one copy per unit or per identical group of units. Enter the unit number, VIN, engine model and transmission model at the top. For each system, write the OEM spec exactly as printed (for example an API category, an OEM spec number or an ASTM standard), the grade, the capacity with units, and the interval. Note the date and source of each entry.

Key points
- Write the full spec, not a brand name. Brands change; the OEM spec does not.
- Capacities in manuals are usually for a drain and refill, which can be less than a dry fill. Note which one you recorded.
- Some OEMs approve only specific products or require an approval number on the label. Record it.
- Update the sheet when the OEM issues a service bulletin that changes a spec.
Common mistakes
- Copying specs from a similar unit with a different engine or transmission.
- Recording capacity without units, so quarts and liters get mixed up.
- Leaving out DEF and hydraulic fluid, which are often topped off by drivers.
Governing standards: None. OEM operator's and service manuals govern each entry.
